From concept to production, prepress to print and to delivery, it is our intent to be your one stop vendor.  This includes mail service delivery.

We ensure each mailing meets all USPS Postal Regulations... always. Please review all guidelines provided here to assist us in that process.  By doing our respective parts you will save postage and improve deliverability.

Other advantages include no shipping charges and less time required for delivery.

Glossary Of Terms

The following are terms to best understand your mailings:

 
Return Addresses are encouraged on all mailers. This will tell the post office where to return undeliverable mail. Although carrying a cost, this ultimately results in savings to you by allowing you to update your list for future mailings.

Undeliverable as Address (UAA) is forwarded, returned or treated as dead, if the UAA disposition is appropriate.

Return Service Requested, if UAA, is returned with the new address or reason for return at no charge.

Temporary Return Service Requested, if UAA and a temporary change-of-address is on file, is forwarded.

Change Service Requested gives a separate notice of new address or reason for non-deliverability for a fee; however, the option is available for First Class Mail only.

Standard First Class Mail rates provide reduced postage rates; however, mail is not forwarded or returned. Standard Mail that is not deliverable is disposed of by the Post Office unless specific instructions in the form of an Occupant Address or an Ancillary Service Endorsement is provided.

National Change of Address makes change-of-address information available to help reduce undeliverable mail pieces before mail enters the mail system.  With millions of Americans changing their addresses annually, a formidable obstacle is created for maintaining a high-quality list. Address information is first standardized to conform to USPS requirements, including the ZIP+4 code. If new addresses have been properly filed through this process the new address is updated in a mailing list.

CASS Certification or Coding Accuracy Support System improves delivery of mailing list and maximizes postage savings by adding ZIP +4 where possible.  Further the process helps determine some address problems and standardizes addresses to Postal Service formatting. It allows us to apply postal barcodes to mail pieces, thereby qualifying mail for presort discounts.

Mail Classifications

First Class Mail is the best choice if your mailing is time-sensitive.  From delivery to our local Post Office (Lynchburg, VA) to its destination, depending on the area of the country, requires only 2-5 days.  When "pre-sorted"; i.e. passed through approved government mailing software and addressed automatically in zip-sort order, First Class Mail includes forwarding or returns.

Standard First Class Mail offers lower postage rates, but requires minimum pieces and a longer delivery time, usually 7-10 days, depending on destination.  Standard Mail is NOT forwarded unless an Ancillary Service Endorsement, with additional fees, is noted.

Delivery

In no event, implied or verbally communicated is Postcards Unlimited liable for the delivery of mail after it has been delivered and accepted at a USPS location.  Proof of delivery to a USPS location is available; however, control is lost after it has been accepted by the USPS.

List Submission Guidelines

Listed below is important information regarding mailing list files. The first section, Accepted File Formats, covers requirements for how the data in the file is setup. The second section, Accepted File Types, covers the file types we accept, i.e., Excel, Access, and Comma Separated.

It is important that you review and follow these requirements. Submitted files requiring modifications or changes are subject to additional charges. If you have any questions please don't hesitate to contact us.

Formatting Your List

When preparing your mailing list please follow the guidelines listed below. By following these guidelines we will be able to easily access and process your list.

The Firstname, Lastname Company, Address, City, State, Zip headers must be in a separate field/column.

All database entries should be in a separate field/column.

Note: Our system only supports the following headers as shown in the image below. They must be formatted exactly as shown or the import will not process correctly. Each header of a .csv file should be separated by a comma.
